Responsibilities of Regional Admin Coordinator Jobs in Kenya:
- Coordinate agendas, prepare for meetings, conduct follow-ups, and record minutes for RMG and RT meetings.
- Coordinate the triannual T-reporting process among HO, RT, and country offices, encompassing deadlines, required inputs, and presentation schedules.
- Offer minute-taking assistance to RMT in Nairobi as required.
- Coordinate internal reporting and meetings among country offices, the Regional Office, and the Head Office.
- Prepare and deliver reports and analyses as required.
- Ensure the accurate filing and diligent maintenance of all pertinent documents, including those stored on ESA SharePoint and related consultancies or evaluations.
- Organize and oversee the logistical arrangements for meetings, conferences, and events.
- Supervise daily office operations and facility management.
- Guarantee adherence to NRC policies, procedures, and guidelines.
- Assist RMT and regional personnel with meeting preparations and the documentation of minutes.
- Maintain and regularly update organizational schematics, the annual events calendar, and the RMT calendar (including leave, travel, and related matters).
- Facilitate enhancements in internal communication and administrative procedures.
- Support regional crisis management teams and oversee the preparation of Situation Reports (e.g., Sudan SitRep).
- Assist the Regional Programme by managing donor correspondence, drafting letters, and maintaining the donor contact registry.
Professional competencies:
- A minimum of three years of experience in Administration, Management, or a related field
- Demonstrated administrative expertise within the NGO or a comparable sector
- Capable of independently monitoring and completing essential duties without requiring close supervision.
- Proficiency and background in research methodologies
